Managing your school library structure

As a ClickView Administrator with access to Library Editor, you have the ability to create and maintain your own school library.  In this article we'll look at the general management of your library including how to create and manage the folder structure.

Library Creation

The first step towards your school library is to create your library and the folder structure which will consist of folders and/or subfolders.  Please follow the steps below:

1. Login to ClickView with an Administrator account and open Library Editor by clicking on your profile in the top right of the screen, and then Library Editor from the drop down menu:
   
   
   
2. The Library Editor screen will display as follows and you have the option to create your school library by selecting either the '+ New library' option on the left hand side of the screen, or the '+ Create library' button in the middle of the screen.  Selecting either will give the same options:
   
   
   
3. You'll be prompted to give your library a name, and once entered, click on the 'Create library' button:
   
   
   
4. Confirmation that your library is created will be displayed on the screen.  It's now time to create your folder structure and eventually make your library visible to others.
   
   
   
5. To make your new school library visible to others, click on the 'Make Library Available' button at the very top of the screen.  Please note, that this is a one time only action:
   
   
   
6. Select 'Continue' from the popup confirmation:
   
   
   

Folder/sub folder creation

Once the school library created, it's time to build your library structure.  To create folders, follow the steps below:

1. Select the three dots icon next to your School Library:
   
   
   
2. From the drop down menu, select 'Add folder':
   
   
   
3. Enter a name for your new folder and click the 'Create folder' button:
   
   
   
4. With your initial parent folder structure created, its time to think about subfolders.
   
   For instance, a parent folder of 'Mathematics' may have numerous sub folders such as 'Multiplication', 'Trigonometry' etc..  To create a sub folder select the three dots next to the main folder:
   
   
   
5. From the drop down menu, select 'Add subfolder':
   
   
   

Much like the initial folder creation, enter a name for the sub folder and click the 'Create' button.  Make sure the parent folder is the correct folder:

Moving folders within your school library

Within Library Editor, ClickView Administrators are able to rearrange the structure of your school library, should your requirements change.  In the example below, we see the folder Advanced Chemistry being moved into the parent folder, Chemistry.

To move folders within your library, please follow the steps below:

1. Locate the folder that you wish to move and click the three dots icon.  This can either be through the main window or the folder structure on the left hand side of the screen:
   
   
   
2. From the drop down menu, select 'Move folder':
   
   
   
3. Select the desired parent folder, which is the folder you want to move a specific folder into:
   
   
   
4. With the new parent folder selected, click on the 'Mover folder' button:
   
   
   

The folder should now be located within the parent folder that you chose:

Removing folders within your school library

The final piece of managing your school library, is the ability to remove unwanted folders from the library structure.  All videos must be moved from the unwanted folder prior to deletion.  For advice on moving videos between folders within your school library, please see our handy guide, here.

To remove folders within your library, please follow the steps below:

1. Locate the folder that you wish to move and click the three dots icon.  This can either be through the main window or the folder structure on the left hand side of the screen:
   
   
   
2. From the drop down menu, select 'Remove folder':
   
   
   
3. You'll be prompted with the following and if you're happy to proceed, click on the 'Remove Folder' button:
   
   
   
4. The folder is now removed.
